Managing Media
Your media library stores all images used across your digital signage. This guide covers uploading, organizing, and maintaining your content.
Uploading Media
Quick Upload
Click the Upload button (arrow icon) in the navigation bar from anywhere in the app.
Upload Dialog
- Drag and drop files onto the upload area, or click to browse
- Select multiple files to upload in batch (up to 20 files, max 5MB each)
- Edit file names before saving
- Click Save All to upload
- Files appear in your library when complete
Supported Formats
- Images: PNG, JPEG
Browsing Media
Media Library Tabs
Media is organized by status:
| Tab | Contents |
|---|---|
| All Media | Active media available for use |
| Archived | Hidden from main view but preserved |
| Trash | Pending deletion (auto-deleted after 30 days) |
Finding Media
- Search - Type in the search box to find media by name or tags
- Filter by Tags - Select one or more tags to narrow results
- Sort - Order by creation date, update date, or name
Organizing with Tags
Tags help you categorize and find media:
- Click a media item to open its detail page
- Click in the tags area to add tags
- Type a tag name and press Enter
- Remove tags by clicking the X
Tip: Use consistent tag naming (e.g., "promo", "seasonal", "product") across your library.
Media Status Lifecycle
Upload → NORMAL → Archive → ARCHIVED → Trash → TRASHED → Auto-deleted (30 days)

Archiving Media
Archive media you're not currently using but want to keep:
- Open the media detail page
- Click Archive
- Media moves to the Archived tab
Trashing Media
Move media to trash for deletion:
- Open the media detail page
- Click Move to Trash
- Confirm in the dialog
- Media moves to the Trash tab
- After 30 days, trashed media is permanently deleted
Restoring Media
Restore archived or trashed media:
- Go to the Archived or Trash tab
- Click the media item
- Click Restore
- Media returns to the All Media tab
Swapping Media
Replace a media item everywhere it's used:
- Open the media detail page
- Click Swap... (appears in the "Where This Media Is Used" section)
- Click Browse and select the replacement media
- Choose where to swap:
- All device groups and templates - Swap everywhere
- All device groups only - Leave templates unchanged
- All templates only - Leave device groups unchanged
- All scripts only - Swap in scripts only
- Choose what to do with the original after swap:
- Keep original media - Leave it in the library
- Archive original media - Move to archived status
- Move original to trash - Permanently deleted after 30 days
- Click Swap Media to confirm
For more control, click Advanced: Select specific device groups and templates to choose exactly which locations to update.
This is useful when updating promotional content or replacing outdated images.
Media Details
Click any media item to view and edit:
- Preview - Visual preview of the image
- Name - Editable name field
- File info - Type, size, dimensions
- Tags - Add or remove tags to organize your media
- History - Creation date, last updated, and who made changes
- Usage - Where this media is used (device groups, templates, scripts)
Best Practices
- Use descriptive names - Rename files to be meaningful (e.g., "summer-sale-banner" not "IMG_1234")
- Tag consistently - Develop a tagging system and use it across all media
- Archive, don't delete - Archive seasonal content instead of trashing it
- Review trash regularly - Check the Trash tab before the 30-day auto-delete
