Managing Media
Your media library holds all the images and videos you want to display on your screens.
Uploading Media
To add new content:
- Go to the Media Gallery
- Click Upload or drag files into the window
- Wait for the upload to complete
Your media is now ready to use in scripts and templates.
Finding Media
The media gallery includes search and filtering:
- Search by name to find specific files
- Filter by tags to browse organized content
- Sort by date or name
As your library grows, tags become essential for staying organized.
Using Tags
Tags help you categorize and find media quickly. For example:
- Tag seasonal content: "summer", "holiday", "spring-sale"
- Tag by location: "storefront", "checkout", "entrance"
- Tag by type: "promotion", "menu", "announcement"
Viewing Media Details
Click on any media item to see:
- Where it's currently being used
- When it was uploaded
- File details
Replacing Media (Media Swap)
Need to update an image across multiple locations? The media swap feature lets you replace one piece of media with another across your device groups and templates.
How to Swap Media
- Click on the media item you want to replace
- Select the Swap option
- Choose the replacement media from your library
- Select where to make the replacement
Choosing Where to Swap
The swap page shows two tabs:
- Device Groups — Shows all device groups currently using this media
- Templates — Shows all templates currently using this media
You can:
- Select/deselect individual items by clicking on them
- Select All or Deselect All using the buttons at the bottom
- Filter by search to find specific device groups or templates
- Filter by store (device groups only) to narrow down locations
Performing the Swap
- Select the replacement media at the top of the page
- Choose which device groups and/or templates to update
- Click Swap Media
The original media is replaced with your selection in all chosen locations.
What Happens After Swapping
- Device groups: The swap takes effect on screens after their next sync (overnight or manual)
- Templates: The template is updated, but you'll need to re-publish for changes to reach device groups that use it
If you need to replace media everywhere it's used, make sure to swap in both device groups and templates to keep everything consistent.
Media States
Media in your library can be in one of three states: Normal, Archived, or Trashed. This gives you flexibility to hide content temporarily or schedule it for deletion.

Archived and trashed media is automatically excluded from templates, scripts, and devices. You don't need to manually remove it from those locations.
Archiving Media
Archive media when you want to hide it without deleting — for example, seasonal promotions you'll use again next year.
- Click on the media item to open its detail page
- Click the Archive button
To view archived media, click the Archived tab in the media gallery.
Moving Media to Trash
When you're ready to delete media, move it to the trash. Trashed items are permanently deleted after 30 days.
- Click on the media item to open its detail page
- Click the Move to Trash button
To view trashed media, click the Trash tab in the media gallery.
Restoring Media
You can restore archived or trashed media at any time (before the 30-day auto-deletion for trashed items).
- Go to the Archived or Trash tab
- Click on the media item
- Click the Restore button
The media returns to Normal state and becomes available again.
Deleting Media
When you move media to the trash, the system will show you where it's currently being used. Since archived and trashed media is automatically excluded from templates, scripts, and devices, you don't need to manually remove it first.
If you want to replace media rather than simply remove it, use the Swap feature instead. This lets you choose a replacement that takes its place in all locations — often a better choice when updating content.
Before You Delete
Before moving media to the trash, consider:
- Do you need a replacement? Use the swap feature to seamlessly replace the media with something new
- Check where it's used — The media detail page shows every device group, template, and script using the media
- You have 30 days — Trashed media can be restored anytime before it's permanently deleted
