Key terms and concepts used throughout Publish.
Content
Media
Images uploaded to Publish. Supported formats are PNG and JPEG.
Script
An ordered playlist of media items that play in sequence. Scripts can be reused across multiple templates. When a template containing a script is published to a device group, the script's media items are expanded into individual entries.
Tag
A label used to organize and categorize media and scripts. Tags help you find content quickly using filters.
Infrastructure
Device
A physical display screen (TV, monitor, digital sign) running the Publish TV app. Devices are registered using a 6-character access code or by scanning a QR code.
Device Group
A collection of devices, typically at a single location. Content is assigned to device groups, and all devices in the group display that content.
Store
A physical location (retail store, office, venue) that contains one or more device groups. Stores help organize devices by geography.
Company
The top-level organizational unit. All content, devices, and users belong to a company. Users can belong to multiple companies.
Configuration
Template
A reusable configuration defining content for multiple device slots. Templates can be published to multiple device groups, making it easy to maintain consistent content across locations.
Schedule
Rules that control when content displays. Schedules can specify time ranges, date ranges, recurrence patterns (daily, weekly), and exceptions.
Display Duration
The amount of time (in seconds) that a media item shows on screen before advancing to the next item. Can be set per-item or use the company default.

Media Status

Sync Status
| Status | Description |

| In Sync | Device group content matches its template |
| Edited | Device group was edited directly after a template publish |
| Update available | Template was updated but not republished to this device group |
| No template | Device group has no linked template |
User Roles
Admin
Full company control including managing stores, device groups, team members, and company settings. Can perform all actions.
Manager
Can create and edit templates, create and edit device groups, edit device group content, and manage media. Can invite new team members and manage non-admin team members. Cannot manage stores or change company-level settings like display duration.
Member
Standard user access. Can view and edit content, templates, and device group content. Cannot manage team members, stores, or company settings.
Actions
Publish
The action of sending template content to one or more device groups. Devices automatically sync overnight to display the new content, or you can trigger an immediate sync manually.
Sync
The process of a device downloading and applying the latest content from its device group. Can be triggered manually with "Sync Now".
Swap
Replacing one media item or script with another across all templates and device groups where it's used.
Archive
Moving media to a hidden state while preserving it. Archived media doesn't appear in the main library but can be restored.
Trash
Moving media to a deletion queue. Trashed media is permanently deleted after 30 days but can be restored before then.
Restore
Returning archived or trashed media to normal (active) status.
Registration
Access Code
A 6-character alphanumeric code displayed on a device during registration. Users enter this code in the web app to link the device to a device group.
QR Code
A scannable code displayed alongside the access code on devices. Scanning opens the registration page with the code pre-filled.
